Best swim school software in 2026: how to choose the right one
There’s no single best swim school software. There’s the one that fits your size, how families pay and how much you want parents to do online. Here’s how to decide. It’s written by the team behind Ateliem, so read our part with that in mind.

Before you look at any product, answer these six questions. They rule out half the market straight away.
- Size. How many pools or lanes, instructors and swimmers do you have, and how many locations?
- Enrollment. Do families need to enroll and pick a group online, or does your desk do it?
- Payments. Do you need online card payments and autopay, or do families pay at the desk, by transfer or by link?
- Progress. Do you send skill checklists or report cards, or is moving up a level enough?
- Make-ups. Do you offer make-ups, and do you want them self-service or handled by staff?
- Time and budget. Do you want to start this week, or can you plan a migration with onboarding calls?
The features that matter for swim schools
Scheduling by level, lane and instructor
The software should know that a lane takes one group at a time, that each level has a maximum group size and that instructors can’t be in two lanes at once. Ask how it handles parallel groups in one pool and term-long repeating lessons.
Enrollment, terms and lesson packs
Look for term dates, lesson packs that count down with attendance, monthly plans, and a clear view of who is about to run out.
Attendance at the poolside
Instructors have wet hands and 30 seconds between groups. The register should take a couple of taps on a phone and show allergies and medical notes right there.
Make-ups and waitlists
Make-ups drive a big share of swim school admin. Decide whether you want a self-service credit system or a simple way for staff to slot a swimmer into an open seat.
Parent access
Parents want the next lesson, attendance, what they owe and a way to reach you. Check if it’s a web login or an app, and if one parent can follow several children.
Billing
The biggest dividing line. Some platforms process cards and run autopay; others track balances while you take payment yourself. Ask about processing fees and whether you’re tied to one payment provider.
Roles, locations, reports and your data
Owner, front desk and instructor roles; more than one site; revenue by level; and an export so you can leave without losing your records.
Price and contract
Pricing varies: per student, per location or by plan tier, sometimes with setup fees. Make sure you can see the full monthly cost before a demo.
Three kinds of swim school software
1. Dedicated swim and youth-activity platforms
Products such as Jackrabbit Swim and iClassPro are built for swim schools and other children’s activity businesses. Their websites (checked October 2026) list features such as online registration, automated billing, absence and make-up requests, parent or customer portals and skill tracking. They suit established schools that want enrollment and payments online and have time for setup. Check pricing and contract terms on their own sites.
2. General fitness and studio platforms
Platforms like Mindbody and Glofox are designed mainly around online booking, memberships and payments for fitness and wellness businesses. They can run adult swim classes well. For a learn-to-swim program, check how they handle parents, children and levels. Our Mindbody and Glofox comparisons go into more detail.
3. Lightweight class management tools
Simpler tools, Ateliem among them, focus on the daily work: the timetable, the register, packs and who owes, with logins for instructors and parents. They cost less and you can start in an evening, but they leave out online payments and self-service booking.
And spreadsheets
Free and flexible, and fine for a single instructor. They break down with parallel groups, counting packs, and parents asking for updates. If you’re there today, our free attendance template is a step up, and software vs spreadsheets explains when to move on.

Questions
What is the best swim school software?
It depends on your size and how families pay. Larger schools that want online enrollment and autopay usually shortlist dedicated swim platforms. Small and mid-size schools that mainly need a timetable, register, packs and balances can do well with a simpler tool like Ateliem.
Is there free swim school software?
A spreadsheet is the only truly free option for most schools. Many products offer a trial. Ateliem’s is 30 days with no card. Prices are shown in your local currency and depend on your country — see Plans on this page.
How much does swim school software cost?
Pricing models vary: per student, per location or by plan tier, sometimes with setup or payment-processing fees. Ateliem publishes its prices on the website, in your local currency, based on the number of instructors, with unlimited swimmers.
Do I need online booking for a swim school?
Not always. Many swim schools enroll families by term at the desk or by phone. Online booking helps most when you have lots of drop-in or rolling enrollments.
Can I switch swim school software later?
Check that you can export your data before you sign up. Ateliem lets you download your swimmers, packs, payments and attendance as a CSV at any time.
